Kadlec has an exciting opportunity for an Central Scheduling Representative II to join our growing Central Scheduling located in Richland, Washington!

Shift Details: 1.0 FTE, Full-time, Variable


Minimum Requirements:

  • 2 years general office experience with public interaction

Preferred Qualifications:

  • Courses in medical terminology

  • Data entry, medical terminology and insurance experience

  • Medical setting experience

  • Bi-lingual or multi-lingual skills

Duties include, but are not limited to, the following:

Under the direction of the Patient Access/Central Scheduling Coordinator & Manager, Patient Access/Central Scheduling Representative- Level II, verifies orders, schedules, and registers, verifies insurance coverage and benefits, creates estimates, and obtains pre-certification, referral or authorizations as needed per insurance requirements; Participates in the collection of up-front revenue due to the facility; Provides quality customer service to internal and external customers.

  • Demonstrate and sustain compliance with Kadlec Caregiver Expectations Standard of Excellence and Code of Conduct.

  • Cross-references patients scheduled for multiple procedures within the Kadlec system to improve the patient flow when in departments.

  • Creates and provides patients with estimated cost for services.

  • Ensures that the procedure is scheduled for the date requested by the caller, or the next available time that is also convenient for the caller and the patient; Takes into consideration authorization requirements.

  • Accurately enters information about each procedure into the scheduling system to ensure the requested time for the procedure has been reserved for the patient.

  • Reviews, verifies, transcribes, and processes external orders accurately.

  • Completes medical necessity checks in accordance with Regulatory Guidelines.

  • Consistently enters into the computer system any/all special information about the patient being scheduled, i.e., allergies, wheelchair, translator etc.

  • Obtains pre-certification/Authorization/Referrals for any test/procedure scheduled that requires this information; Enters information in the EPIC system so that when the bill goes out it has the necessary authorization information.

  • Enters all cancelled procedures called in from physician offices or patient into the scheduling system. Always documenting reason for cancellation and the caller.

  • Notifies the department if it is the day of the test.

  • Generates daily reports from scheduling system on all patients and for all ancillary departments on a nightly basis.

  • Consistently answers telephone calls in a courteous and professional manner within three rings.

  • Adheres to all departmental, administrative and hospital policies and procedures; Adheres to customer service standards 100% of the time.

  • Maintains work area on own initiative in a neat and clean environment.

  • Performs all duties in an independent manner using appropriate judgment in referring problems and questions to their supervisor.

  • Strives to make the best use of time during shift through daily work and special projects. Completes assignments in an accurate and timely manner.

  • Demonstrates a comprehensive understanding of the scheduling system.
