Kadlec has an exciting opportunity for a Executive Assistant to join our growing Strategic Services team located in Richland, Washington!

Shift Details: Full time, 1.0, Day Shift

Qualifications:

Minimum Requirements:

  • Two (2) years college-level course work in business administration, office management, secretarial training or related field or equivalent education/experience

  • Five (5) years executive office/administrative support experience

  • Experience with a variety of software applications, including Microsoft Office, Word, Excel, PowerPoint, Outlook and Adobe Acrobat

  • Able to obtain, a Notary license

Preferred Qualification:

  • Experience in a medical office/hospital setting and/or legal office/law firm and medical terminology/and/or legal terminology

  • Bi-lingual or multi-lingual skills

Duties include, but are not limited to, the following:

As an Executive Assistant you will be under the general direction of the Chief and/or Executive Director, the Executive Assistant perform highly responsible and complex administrative assistance and coordinates daily operations to assure smooth, timely and efficient operation of the Executive Offices; Serves as a liaison between the Senior Management, Board members, community, physicians, directors, nursing and ancillary staff to facilitate an efficient flow of information through the Executive Offices; Relieves assigned Executive(s) and/or Director(s) of clerical and administrative duties, including, but not limited to managing calendars as well as coordinating all logistics relating to a variety of senior meetings, preparing agendas, taking minutes, room set-up, etc. Supports the Mission and Vision of Kadlec and its Subsidiaries.

  • Demonstrate and sustain compliance with the Caregiver Expectations and Code of Conduct

  • Provide administrative and project support to Chief and/or Executive Director

  • Plan and perform complex administrative office duties and project facilitation/coordination requiring considerable independent judgment, under the direction of the Executive(s) and/or Director(s)

  • Coordinate the contracting process, including the preparation and/or revision of contracts, contract addendums and/or leases, as well as the completion of contract checklists and contract summaries, and interacts with legal counsel or representatives

  • Develop agendas and meeting packets and records and prepares meeting minutes for various high level meetings

  • Handle highly confidential and sensitive information with discretion

  • Compose edits and types correspondences, prepares newsletters and reports, as necessary

  • Receive and greet physicians, employees and visitors; responding to questions, comments or concerns; explains programs, policies and procedures within scope of authority

  • Set up and maintains Kadlec files, as applicable

  • Schedule appointments, conferences and meetings, both within and outside the Medical Center, and involving multiple parties

  • Maintain the calendar of Chief and/or Executive Director using his/her time efficiently utilizing Microsoft Outlook

  • Interact in a professional manner with physicians, physician offices/management, Board members, other professionals such as attorneys, financial advisors, and visitors

  • Promptly picks up and appropriately screens incoming calls for Kadlec Administration offices when other Executive/Administrative Assistants are unable to respond in a timely manner

  • Coordinate follow-up action items and requirements of regulatory agencies for the Chief and/or Executive Director

  • Coordinate registration, attendance, travel schedules and lodging accommodations for Chief and/or Executive Director, as required

  • Work collaboratively to ensure projects are completed in a timely manner by offering assistance to others

  • Open, sort and distribute mail for the Chief and /or Executive Director, maintaining confidentiality as required

  • Assist in the facilitation and/or coordination of projects as directed by the Chief and/or Executive Director

  • Arrange special events as directed by assigned by the Chief and/or Executive Director

  • Coordinate with the Chief and/or Executive Director to ensure a smooth and timely flow of information

  • Provide Notary Public services for employees, physicians, and patients, as applicable

  • Review, edit and approve timecards for executives and employees as designated

  • Adhere to standard policies as outlined in department related to infection control, fire and safety, hazardous chemicals, personnel policies, and departmental procedures
